Standard Practice for the Evaluation and Selection of Exhibits for Meetings, Events, Trade Shows and Conferences
1. Scope
1.1. This standard practice delineates procedural requirements for exhibits and expositions, which include the set up and dismantle of tradeshows and the exhibits that are built within the event floor.
1.2. This standard identifies sustainability criteria to be included in Exhibits & Expositions by planners, general service contractors, exhibitors, exhibit builders and exhibitor appointed contractors.
1.3. This standard does not purport to address all of the safety concerns, is any, associated with its use. It is the responsibility of the user of this standard to establish appropriate safety and health practices and determine the applicability of regulatory limitations prior to use.
- 2. Terminology
2.1. Definitions:
2.1.1. Exhibitor, n—An exhibitor is someone who organizes an exhibit for others to see.
2.1.2. Exhibitor Appointed Contractor, n—A contractor hired by an exhibitor to perform trade show services independently of show management appointed contractors. Also called Independent Contractor, EAC.
2.1.3. General Service Contractor, n—The GSC performs many services and products including an extensive inventory of furniture rental equipment, which includes such items as tables, chairs, desks, easels, pipe and drape, etc. They also offer carpet rental with a variety colors to choose from. The general services contractor utilizes the most modern technology available to create everything from simple signage to large banners. They also handle the moving of material in and out of the exhibit hall, typically referred to as material handling/drayage which also includes storing empty crates during the show, returning empty crates to booth after show. In addition, the GSC handles union labor management which is necessary for material handling and decoration labor needs consisting of several different unions such as Teamsters, machinery movers, riggers, carpenters, and decorators.
2.1.4. Planner, n— Person whose job it is to oversee and arrange every aspect of an event. Person can be an employee or hired ad hoc by large companies, professional associations, or trade associations to plan, organize, implement, and control meetings, conventions, and other events. Planners may include professionals who work for government, association, corporate or independent agencies. The planner is the buyer of event services.
3.0 Significance and Use
3.1 Lacking standards around exhibits and trade shows planners and suppliers are challenged to design and implement more sustainable events of this nature. This standard represents the interests of all parties to create green trade shows and exhibits.
3.2 This ASTM practice offers a comprehensive view of exposition / exhibit selection and procedures and differs from short checklists.
4.0 Procedures
4.1 Develop environmental policy and goals for evaluating and selecting expositions and exhibits.
4.2 Assess sustainability attributes of expositions and exhibits. Planners should incorporate sustainability into their overall decisions on expositions and exhibits. Suppliers should incorporate sustainability into their overall operations. At a minimum the criteria for sustainable destinations includes the following characteristics:

4.3 This standard includes aspects of transportation as it relates to logistics of goods and materials needed by the GSC to produce a tradeshow and by exhibit builders/exhibitors to produce and exhibit booth.
4.4 Evaluate using the checklists as indicated in Annex A1.1. Exemplary performance is indicated for suppliers and planners. Adjunct XXX automatically performs the calculations for this standard.

Outreach and training programs for onsite Exhibitor Appointed Contractors and Union Labor should be utilized. Indicators for measurement should also be identified.
